In this policy, “we”, “us” and “our” mean Synergy Salon of Tampa Bay, Inc. This policy covers our website at synergysalon.com and the information we collect when you contact or book with us.

2. Information we collect

Information you give us

• Booking details. When you book online, you provide your name, phone number, email address, the service you want and your preferred time. You may also add notes about your hair or your appointment.
• Contact details. If you call, text or email us, we receive whatever you choose to share, including your name, contact details and the content of your message.
• In-salon details. During a consultation we may record notes about your hair history, colour formulas, products used and preferences, so we can give you consistent results on future visits.

Information collected automatically

• Usage information. When you visit the website we automatically receive technical information such as your approximate location (usually city level), device and browser type, the pages you view, how you arrived at the site, and how you interact with it.

We do not ask for, and you should not send us, sensitive information such as payment card numbers, social security numbers or health records through the website or by email.

3. How we use your information

• To book, confirm, reschedule and carry out your appointments.
• To contact you about an appointment, including reminders and follow-ups.
• To answer your questions and respond to your messages.

Embedded content

Some pages include content from other companies, which may set their own cookies or receive your IP address when the content loads:

• Online booking. Our booking calendar is provided by a third-party scheduling platform and is embedded in our website. Information you enter into it is submitted to that platform and passed to us.
• Google Maps. Our location links and map content are provided by Google.
• YouTube. Video on our site is embedded using YouTube’s privacy-enhanced mode, which limits cookies until you play a video.

Managing cookies

Most browsers let you refuse or delete cookies in their settings. Blocking cookies will not stop you booking an appointment or contacting us, though some parts of the site may not work as smoothly.

5. Who we share information with

We share information only where it is needed to run the salon:

• Service providers who operate our booking system, website hosting, analytics and communications, and who may only use the information to provide those services to us.
• Our stylists, so that the person doing your hair has the notes and details needed for your appointment.
• Professional advisers and authorities, where we are required to by law, or to establish or defend legal claims.

If the business is ever sold or transferred, customer information may transfer with it as part of that transaction.

6. How long we keep it

We keep appointment and client records for as long as you remain a client and for a reasonable period afterwards, so that we can provide consistent service if you return and meet our tax and accounting obligations. Website analytics data is retained according to the settings in our analytics account. You can ask us to delete your information at any time, as described below.

7. Your choices and rights

• Access or correction. You can ask what information we hold about you and ask us to correct it.
• Deletion. You can ask us to delete your client record, subject to any records we must keep by law.
• Marketing. If we send you promotional messages, you can opt out at any time by replying STOP to a text, using the unsubscribe link in an email, or telling us at the salon.
• Appointment messages. Confirmations and reminders relate to an appointment you booked and are not marketing, but you can ask us to stop sending them.

To make any of these requests, contact us using the details below. We may need to verify who you are before we act on a request. Depending on where you live, you may have additional rights under your state’s privacy laws, and we will honour those that apply to us.

8. Security

We take reasonable steps to protect the information we hold, and we limit access to those who need it to do their job. No website or method of transmission is completely secure, so we cannot guarantee absolute security. Please do not send sensitive details such as card numbers by email or text.

9. Children

Our website is intended for adults. We do not knowingly collect information online from children under 13. We do provide haircuts for children, and those appointments should be booked by a parent or guardian, who provides the contact details. If you believe a child has given us information online, contact us and we will delete it.

10. Changes to this policy

We may update this policy as our services or the law change. When we do, we will revise the “last updated” date at the top of this page. Significant changes will be made clear on this page.
